Read this to learn how to send one booking-related message to multiple customers at the same time from the Supplier Portal.
What are broadcast messages?
Broadcast messages let you send the same update to every traveler booked on a specific activity option and date or time range. Use them when the information applies to the whole group.
Broadcast messages can help you share:
- Pickup or meeting point changes
- Weather or schedule updates
- Driver or vehicle details
- New entrance information
- Last-minute disruptions
- Reminders before an activity
The feature is available under Bookings > Message multiple customers in the Supplier Portal.
When should I use a broadcast message?
Use a broadcast message when every traveler in the selected group needs the same information. For example, send one message when a boat tour is delayed or the pickup point changes.
Use an individual message when the information applies only to one booking or traveler. Examples include:
- A dietary request
- A late arrival
- A question from one traveler
- A booking-specific change
If you are about to write the same message in more than one booking thread, a broadcast message may be the better option.
How to send a broadcast message
- Go to Bookings in the Supplier Portal.
- Select Message multiple customers.
- Choose the product, activity option, date or date range, and starting time needed to define the recipient group.
- Enter a clear, booking-related message.
- Check the banner showing how many travelers will receive the message.
- Review the recipient summary and message content.
- Select Send messages.
Review the recipient group and message carefully before sending. You cannot edit or delete a broadcast message after it has been sent.
How to add a photo or file to a message
Use an attachment when an image or document explains something more clearly than text. You can attach photos and PDFs to customer messages, such as:
- A photo of the pickup vehicle
- A meeting point or parking map
- A photo of a landmark
- A voucher or other PDF document
Add the attachment while composing your message, then review the message before sending it.
How to check whether travelers have read your message
Read receipts help you confirm whether a traveler has opened your message. Double-checkmarks next to the timestamp show that the message has been seen.
Use read receipts for time-sensitive updates, such as a delay or a last-minute meeting point change. If some travelers have not opened the message, follow up using the appropriate communication method.
How automatic message translation works
Messages are automatically translated into each traveler’s preferred language in their app or email. You only need to write the message once.
Write the message clearly and include the essential details, such as:
- What has changed
- When the change takes effect
- Where travelers should go
- What action travelers need to take
