Understanding Your Invoice: Booking list in Excel Format

Read this to learn how to navigate the different sections of your invoice breakdown in Excel format.

Invoice column breakdown

Your invoice Excel file contains detailed information about each booking. Here's what each column represents:

Booking Reference: Unique GetYourGuide booking reference number starting with GYG followed by nine characters.

Supplier Reference: Your internal reference for connected products. This is visible only for API-connected products.

Status: Indicates the current state of the booking:

  • Normal: Indicates the booking has been completed

  • ⚠️ Normal can also indicate supply partner cancellation compensation. This occurs when a supply partner fails to provide services and cancels the booking on their side. In such cases, the affected booking reference will show a "Normal" status with a retail price of zero and a negative commission adjustment, representing 25% of the retail price. For more details, please refer to the terms and conditions, section 3.10.

  • Reversed: Indicates the booking has been cancelled

  • Reversal: Represents reverse charge for cancelled booking (shows negative amount)

Activity Date: Date the activity occurs. Invoiced based on local travel date and time.

Product Reference & Option: Displays product name and associated options as shown in the Supplier Portal.

Currency: Invoice currency.

Retail Price: Price customers pay.

Commission Amount: Amount deducted due to commission from retail rate in your local currency.

Commission Rate: The commission rate of this tour option at the time when the booking was made.

Manual Adjustments: Corrections made by GetYourGuide for missing payments or other issues.

VAT on GYG Service: VAT amount on GetYourGuide commission.

Retail Price Minus Commission: Earnings you will receive from each individual booking (retail price minus commission, including adjustments).

Purchase Date: Shows booking date in both Berlin time and local time.

Traveller Country: Two-letter country code.

Booking Categories: Age category types and amounts (Adult, Infant, Senior).

Additional Information: Comments from GetYourGuide employees to you regarding the booking's payment. This provides extra details to help you understand what the payment is for.
