How to Use Supplier Multi-Login

Read this to learn how to manage multiple supplier accounts with a single login on the GetYourGuide Supplier Portal.

What is Supplier Multi-Login?

The Supplier Multi-Login functionality allows suppliers to access multiple accounts with a single login, eliminating the need for repeated authentication. This feature is designed to enhance efficiency for supply partners managing multiple business units, locations, or regions. Other benefits:

  • Streamlined Access: Individuals  can manage several supplier accounts without logging in and out repeatedly.

  • Efficiency: Reduces the workload by simplifying account management.

  • Easier administration: Suppliers with multiple linked accounts can easily enable access for users to different accounts.

Who Can Use This functionality?

This functionality is open to supply partners, who have proved through the verification process that their two or more accounts on GetYourGuide either:

  • belong to the same business owner (company or individual) or corporate group, or

  • have a legal relationship for example a subsidiary or branch.

Let’s take an example:

  • You are running a company called Kata’s Walking Tours in three locations, each having a separate account on GetYourGuide: Hamburg, Berlin, Munich

  • So far, the three accounts were managed independently of each other, and this was your staff setup without multi-login functionality:

    • Hamburg: Kata1 (main user - admin), Helen (guide), Frank1 (finance)

    • Berlin: Kata2 (main user - admin), Bernd (guide), Frank2 (finance)

    • Munich: Kata3 (main user - admin), Marc (guide), Frank3 (finance)

  • Problems without multi login:

    • Frank, who pulls finance reports each month, had to maintain a set of three email addresses and passwords to access each of the accounts

  • With multi-login, the setup is easier:

    • Each account needs one main user with a unique email address - this is why Kata will stay in this setup as it is.

    • For Frank we can simplify things: 

      • we can first remove Frank2 & Frank3 from Berlin & Munich respectively

      • In a second step, Kata2 can invite Frank1 to the Berlin account

      • In a third step, Kata3 can invite Frank1 to the Munich account

    • After this change, every time Frank1 logs in, he can choose which account to access: Berlin, Hamburg or Munich. Also, he can switch between the accounts at any time without logging out. 

How Does It Work?

  • Administrator Users: Only administrators can send invites. They do not need multi-login access themselves, as long as the business accounts are already linked on GetYourGuide.

  • Inviting Users: 

    • Log in as an admin user.

    • Navigate to the user management section in the Supplier Portal.

    • Click on “Add a new user profile.”

    • Enter the email address of the user you wish to invite.

    • Click “Continue” to send the invitation. The user will receive an email invite to access the account.

  • User Role Assignment: When inviting users to your account, you must select the appropriate role and notification role for each user. Please ensure you choose the correct role that matches the user's responsibilities and required access level, and select the appropriate notification role based on what communications the user should receive. Roles are not automatically assigned based on previous accounts, so you must manually select the correct role and notification role for each invitation to ensure proper access control.   • Account Switching: Once logged in, users can switch between accounts seamlessly without needing to log out. This can be done by clicking on their name in the top right corner and selecting the desired account.

  • Account Access Visibility: In the account management section, under each user, you can view the other accounts they have access to. This helps in managing user permissions effectively.

Can I switch accounts without logging out?

Yes, once logged in, you can navigate between all accounts you have access to without logging out.

How do I know which accounts I have access to?

You can potentially have access to all accounts that are linked with your business, if an admin grants you access to them. However, you can also have access to only a subset of accounts. When logging into the Supplier Portal, you will see a screen indicating all the other accounts you have access to. If you are not seeing an account on that list that you expect to have access to, please reach out to an admin of the missing account. 

Can I change user roles or notification settings?

Yes, login access and notification settings can be amended as needed individually per account. You can find detailed instructions in this FAQ article.

How can I check if my accounts are linked?

If you're unsure about the linking status of your accounts, contact our Supplier Support team to verify and request linking if needed.

How can I check which accounts a user has access to? 

Log in as an admin user. Go to the account management section and find the user in question in the list. You can see a list of all accounts each user has access to, making it easy to manage permissions and access rights.
