Managing Availability for your product

Read this to manage your product availability efficiently, including adjusting bookings, blocking dates, and enhancing slot visibility.

Adjusting the Number of Bookable Persons

If you anticipate a change in availability for an activity on a given date, adjust the number of bookable persons.

  1. Go to Manage > Availability in the top menu bar.
  2. Use the filters on the left-hand side to filter by product, option, or date to find the right product and option you wish to edit
  3. Click Update Availability, adjust the number of vacancies, and Save.

Note: Ensure the maximum number of participants offered aligns with your capacity.

Blocking and Unblocking Slots

Manually block specific slots for each product if you do not want customers to book on those dates. Block dates for periods when your product won't be offered, such as public holidays. Blocking slots doesn’t affect existing bookings, and you will still need to fulfill them. 

Note: You can only block or unblock dates once your product is live and bookable.

To Block Out Specific Slots:

  1. Go to Manage > Availability in the top menu bar.
  2. Use the filters on the left-hand side to filter by product, option, or date to find the right product and option you wish to block or unblock.
  3. Use the toggle to block or unblock as shown.

Updating Cut-off time for a slot 

If you know that your tour will begin at a specific starting time, you can lower the cut-off time for that particular time slot to make sure the remaining spots are booked. Updating your cut-off time on time slot level enables you even more last minute availability. 

For example, you can update your cut-off time for your 10 AM tour to 0 hours and keep your 3 PM tour set with a 3-hour cut-off time. 

To change the cut-off time on time slot level:

1. Go to the Availability tab in the top navigation bar.

2. Select the time slot you wish to edit.

3. Click the blue Edit button next to the cut-off time. 

4. Select the cut-off time needed > Click Save.

Note: any changes in the availability page override the cut-off time settings created in the product wizard.

Bulk Editing on the Availability Page

Use the bulk editing feature to block or update the availability for multiple slots, saving time by applying changes to multiple time slots at once. You can select and update 50 time slots at a time to bulk edit. 

To Block Out Multiple Dates:

  1. Click the checkbox to select all time slots on the page
  2. Click "Update selected"
  3. Next  choose what to update
    1. Block / Unlock slots
    2. Update participant count 
    3. Update cut-off times
