Setting up schedules and 'per group' pricing for your product

Read this to learn how to set up your availability and and set up 'per group' pricing for your activities on GetYourGuide.

 Schedules

Setting up your activity schedules is crucial for managing availability and ensuring customers can book your experiences. Here’s how to do it:

1. Name your schedule (e.g. default, 2023 summer, etc)

2. Choose the start date of your activity

3. By default, your activity doesn’t have an end date, i.e., it will remain online and bookable up to 16 months in advance. This is the preferred selection so that you don't lose out on sales.
Note: If your activity is seasonal and has an end date (e.g. Aug 31, 2025), select the 'My activity has an end date' checkbox and set the end date.

4. Add all the starting times or operating hours for your product

5. Click on 'Add time slot' for fixed time slots or 'Add operating hours' for flexible hours.

Optional: If you offer different time slots or operating hours, create exceptions for specific dates (e.g., Christmas Eve, Black Friday) by clicking on 'Add Date'.

6. Click on 'Save and Continue' to validate your setup.

Pricing categories

Price per group means that customers pay one price for the entire group. This pricing mode is ideal for private activities such as private vehicle transfers.

  • Add multiple group sizes to charge a different price per group size and use price tiers within a group. Click 'Additional group size' and input the number of people for each group size you offer.

  • Configure additional persons if you want to combine a group price with a price per person. 
  • Under 'Group', click 'Additional Persons' and input the maximum number of additional people that can book. Any booking with more than the maximum number of people in the group will be calculated as an extra price per person.

Capacity

Maximum groups per time slot: This is the maximum number of groups that you offer at the same time. E.g., this could reflect the number of tour guides that you have available or the number of vehicles you can provide.

Price

Explore various ways to personalize your 'per group' pricing to best suit the nature of your activities and customer preferences.

  • Single group size: Under 'Group pays', enter the total price and ensure it is listed in the appropriate currency. The listed price should include the GetYourGuide commission. The commission is subtracted from the total booking amount for each successful reservation.

    For example, if a customer books a single time slot for 12 people, and your pricing is structured for groups of 5, this would result in three groups (3 x 100€), totaling 300€. The commission is then deducted from this total amount to calculate your payout.

  • Multiple group sizes: For activities that accommodate varying group sizes, specify the retail price for each group size category. For instance, if you set a price of 200€ for any group size up to 12 people, a customer booking for 12 people would be charged a flat rate of 200€ for the group.

  • Additional persons: This option is suitable if your activity can accommodate more individuals than the standard group size, with a specific fee for each extra person. The commission rate will be applied to all successful bookings.

    For instance, if a booking includes up to 5 people, the cost is the standard group rate, e.g., 100€ for the group. However, if a booking includes 12 people, the charge includes the group rate for the first 5 people (100€) plus an additional fee for each of the 7 extra people, at 10€ per person, totaling 170€.
