Adding schedules for 'per group' price configuration

Schedules

1. Name your schedule (e.g. default, 2023 summer, etc)

2. Choose the start date of your activity

3. By default, your activity doesn’t have an end date, i.e., it will remain online and bookable up to 16 months in advance. This is the preferred selection so that you don't miss out on sales due to expired activity.
Note: If your activity is seasonal and has an end date (Aug 31, 2025), you can configure that by clicking on the checkbox 'My activity has an end date'

4. Add all the starting times / operating hours for your product

5. Specify all starting times / operating hours for your product by clicking on:

  • 'Add time slot' - if you selected fixed time slots
  • 'Add operating hours' - if you selected operating hours

Optional: Create exceptions for specific dates (e.g., Christmas Eve, Black Friday) if you offer different time slots or operating hours by clicking on 'Add Date'.

6. Click on 'Save and Continue' to validate your setup.

Pricing categories

  • Price per group means that customers pay one price for the whole group. This price system works well for private activities such as private vehicle transfers.

  • You can add multiple group sizes to charge a different price per group size. Use this setup if you want to use price tiers within a group.
    • Go to 'Additional group size'
    • Input the number of people for each group size you offer.

  • You can also configure additional persons (on demand) if needed. This setup is useful if you want to combine a group price with a price per person.
    • Under 'Group', check the box next to 'Additional Persons'
    • Under 'Number of People', input the maximum number of additional people that can book.
    • Any booking with more than the maximum number of people in the group will be calculated as an extra price per person.

Capacity

  • Maximum groups per time slot: This is the maximum number of groups that you offer at the same time. E.g., this could reflect the number of tour guides that you have available or the number of vehicles you can provide.

Price

  • One group size:
    • Under 'Group pays', enter the price and ensure it is in the correct currency. The GetYourGuide commission is included in this price.
    • The commission rate will be deducted from any successful bookings. Payout per group is calculated by deducting the commission from the retail rate per group.
    • E.g., if your customer books for 12 people in 1 time slot, they would be split into 3 groups of 5 people and pay 3 x 100€ = 300€. Note: The following commission rate is shown as an example. Your commission rate is applicable based on your current operating geographical area.

  • Multiple group sizes:
    • The commission rate will be deducted from any successful bookings. Payout per group is calculated by deducting the commission from the retail rate per group.
    • Input the retail price you charge per group size.
    • E.g., if a customer wants to book for 12 people the price will be: 1 group x 200€ = 200€.

  • Additional persons in the group:
    • Use this setup if you allow more persons than the stated group size, and for every additional person there is a separate fee.
    • The commission rate will be deducted from any successful bookings.
    • E.g., if your customer books up to 5 people in 1 booking, they will pay the price per group. 1 group x 100€ = 100€. If your customer books for 12 people in 1 booking, they'll pay the price per group plus the price per additional person (1 group of 5 people = 100€) + (7 x 10€ per person) = 170€.
